2. Hosting and Server Log Data

This website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. When you access the website, your browser transmits technically necessary data to the web server. This may include, in particular, your IP address or host name, date and time of access, the file or page requested, the volume of data transferred, referrer URL, browser type, browser version and operating system.

This data is processed to provide the website securely, reliably and without errors, to detect attacks and misuse, and to resolve technical faults. The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in the secure and reliable operation of our website.

According to the hosting provider, host names or IP addresses are anonymised in the log files made available to customers. Access logs may be available to us in the hosting customer area for up to six weeks; error logs are available there for a shorter period. Where data is required to investigate a specific security incident, it may be retained for longer until the investigation is complete and in accordance with statutory obligations.

The processing of personal data by the hosting provider is governed by a data processing agreement pursuant to Art. 28 GDPR.

3. Contact and Project Enquiries

You can contact us by email, telephone or via the contact form. Name, email address and project description are required fields in the contact form. Company, telephone number and the type of support requested may be provided voluntarily. We also process the time of the enquiry and connection data technically required for secure transmission.

We use this information solely to review and respond to your enquiry and, where applicable, to take steps prior to entering into a contract. For contract-related enquiries, the legal basis is Art. 6(1)(b) GDPR. General enquiries are processed pursuant to Art. 6(1)(f) GDPR on the basis of our legitimate interest in handling business communications.

The information is transmitted to our web server via an encrypted connection and then forwarded by email to our business mailbox. Access is restricted to the persons responsible for handling the enquiry and, to the extent necessary, the hosting and email service providers engaged by us.

Enquiries are generally deleted once they have been fully processed and no further retention is required. If no business relationship follows, deletion is reviewed regularly and no later than after six months. If a contractual relationship is established or a statutory retention obligation applies, the relevant data will be stored for the duration of that obligation.

The required information is necessary to process the form. Without it, we cannot respond to the enquiry submitted through the form. No automated decision-making or profiling takes place.

4. Online Applications and Applicant Data

You may use the online application form to apply for permanent employment or freelance project-based work with us. We process your preferred field of work, type of employment, availability and willingness to travel, your name and email address and, where provided, your telephone number, location, message, CV, references and certificates. We also process the time of submission and connection data technically required for secure transmission.

The data is processed exclusively to review and conduct the application process and to communicate with you. Where the possible establishment of an employment relationship is concerned, the legal basis is Section 26(1) of the German Federal Data Protection Act (BDSG) in conjunction with Art. 6(1)(b) GDPR. For possible freelance collaboration, processing for steps prior to entering into a contract is also based on Art. 6(1)(b) GDPR.

The required information and your CV are necessary so that we can review your application and contact you. You may omit voluntary information. No decision is made solely by automated means and no profiling takes place.

The application is transmitted to our web server via an encrypted connection and then forwarded to our business mailbox at info@tec-inspection.de. The website does not create an additional permanent copy of the uploaded files in the publicly accessible web area. Temporary upload files created solely for transmission are deleted after the server request has been completed. Access to applications received in the business mailbox is restricted to the persons involved in the application process and, to the extent necessary, our hosting, email and IT service providers.

If your application is successful, the required documents will be transferred to your personnel file or to the contractual records required for the collaboration. Following a rejection, we generally delete application documents no later than six months after completion of the application process, unless there is a specific continuing need or statutory obligation. Longer retention for future positions or projects takes place only with separate, voluntary consent. Such consent may be withdrawn at any time with effect for the future.

After submitting your application, you will receive an acknowledgement at the email address provided. This confirms receipt only and does not constitute a selection decision.

5. Technically Necessary Storage and Consent Settings

When the contact or application form is opened, the technically necessary session cookie tec_contact or tec_application is set. It contains a randomly generated session identifier and protects the form, particularly against forged or automated requests. The cookie is valid only for the relevant form endpoint, cannot be read by JavaScript and is transmitted solely via an encrypted connection. It expires when the browser session ends.

To limit automated requests, a verification value derived from the IP address and not stored in plain text is used together with a counter and timestamp. The blocking period is no more than one hour. The purpose is to protect the forms and our technical systems against misuse. The legal basis for processing personal data is Art. 6(1)(f) GDPR. The legitimate interest lies in the security and availability of the forms.

Your selection in the consent window is stored under tec_consent_v1 in local browser storage and additionally in a technically necessary first-party cookie. The only information stored is the selected categories, the version of the consent settings and the time of your selection. The setting expires after no more than 180 days, after which you will be asked again. You may change your selection at any time beforehand via “Cookie Settings” in the footer.

The technically necessary session identifiers and storage of your consent selection are necessary pursuant to Section 25(2)(2) TDDDG in order to provide the requested form and consent functions securely and reliably. Consent to analytics or marketing is not required for this purpose.

6. Consent Management, Analytics and Marketing

The website includes a prepared consent management system for the “Analytics” and “Marketing” categories. Both categories are disabled by default. Analytics or marketing services may be loaded only after you have made the relevant selection.

Google Analytics and Google Ads are not currently activated; no production Google identifiers have been entered. This preparation therefore does not transmit any data to Google, even after a selection has been made. Before any later activation, this Privacy Policy will be supplemented with details of the specific services, processing purposes, retention periods, recipients and any transfers to third countries.

Google Maps and YouTube videos are not embedded directly. No social media plug-ins are loaded. Merely visiting our website therefore does not establish a connection to the servers of such services.

7. External Links and Social Networks

Our website contains ordinary links to external services, in particular LinkedIn, YouTube and XING. A connection to the relevant provider is established only when you open such a link. From that point onwards, the external provider processes data in accordance with its own privacy policy. We have no influence over the nature or scope of this processing.

8. Recipients and Transfer of Data

Personal data is disclosed only where necessary to provide the website, process an enquiry or comply with statutory obligations. Potential recipients include, in particular, our hosting and email service providers, IT service providers commissioned by us, responsible employees, and public authorities or other bodies where we are legally obliged to disclose the data.

Data may also be transferred to other recipients where you have consented, where the transfer is necessary to perform a contract or take steps prior to entering into a contract, or where it is required to establish, exercise or defend legal claims.

The current operation of the website, contact form and online application form does not involve the transfer of personal data to a country outside the European Union or the European Economic Area.

The website is transmitted via an encrypted HTTPS connection. We take appropriate technical and organisational measures to protect personal data against loss, manipulation and unauthorised access. These measures are reviewed and adjusted in line with technical developments.
